  • Provide accurate, current, and complete information
  • Maintain and promptly update your account information to keep it accurate, current, and complete

5. Booking Process and Payment

5.1 Tour Inquiries and Bookings

Our Website enables you to make inquiries about our tours and, in some cases, make tour bookings directly. By submitting an inquiry or booking through our Website, you are making an offer to purchase the services outlined in the tour description.

All inquiries and bookings are subject to availability and confirmation by Outback Odyssey Tours. No contract exists between you and Outback Odyssey Tours until we have received your deposit (or full payment) and issued a booking confirmation.

5.2 Pricing and Payment

All prices displayed on our Website are in Australian Dollars (AUD) unless explicitly stated otherwise. Prices are subject to change until a booking confirmation is issued.

To secure a booking, a deposit (typically 20% of the total tour price) or full payment may be required. The specific payment terms will be communicated to you during the booking process or in our direct communications with you.

We accept payments via credit card, bank transfer, and other payment methods as specified on our Website or in our communications with you. All payment information is securely processed through our third-party payment processors.

The balance of the tour price (if not paid in full at the time of booking) must be paid by the due date specified in your booking confirmation. If the balance is not paid by the due date, we reserve the right to cancel your booking and retain your deposit.

5.3 Booking Confirmation

Upon receipt of your deposit or full payment, we will issue a booking confirmation that will include details of the tour booked, payment received, balance due (if any), and other relevant information. Please review this confirmation carefully and contact us immediately if there are any errors or concerns.

It is your responsibility to provide accurate contact information, including email address and phone number, to ensure you receive booking confirmations and other important communications.

6. Tour Booking Conditions

6.1 Traveler Information

When making a booking, you must provide accurate and complete information for all travelers in your party, including full names as they appear on identification documents, dates of birth, and any special requirements or medical conditions that may affect their participation in the tour.

For international travelers, we will require passport details and visa information where applicable. It is your responsibility to ensure that all travelers have valid passports and any necessary visas for all countries included in the tour itinerary.

6.2 Fitness and Health Requirements

Our tours may involve physical activities such as walking, hiking, climbing stairs, boarding vehicles, and other activities. You must ensure that all travelers in your party have the appropriate level of fitness and health for the specific tour booked.

If any traveler has a pre-existing medical condition that may affect their ability to participate in the tour, this must be disclosed at the time of booking. We reserve the right to request a medical certificate confirming a traveler's fitness to participate in a tour.

We will make reasonable efforts to accommodate special needs and requirements, but cannot guarantee that all facilities and activities will be accessible to all travelers.

6.3 Accuracy of Tour Information

We endeavor to ensure that all information on our Website regarding our tours is accurate and up to date. However, details of tours, facilities, and services described on our Website are subject to change. Changes in itineraries may be necessary due to weather conditions, transportation difficulties, or other operational factors.

We reserve the right to make reasonable changes to any aspect of a tour if necessary. If we make a significant change to a tour after booking, we will inform you as soon as reasonably possible.

6.4 Minimum Numbers

Some tours require a minimum number of participants to operate. If this minimum number is not reached, we reserve the right to cancel the tour or offer you alternative arrangements. In such cases, you will be entitled to a full refund of payments made or the option to transfer to an alternative tour, if available.

6.5 Child Policy

Age restrictions may apply to certain tours. The minimum age requirements for each tour will be specified in the tour details on our Website or communicated to you during the booking process.

Children under 18 years of age must be accompanied by a parent or guardian. Special rates for children may be available for certain tours and will be specified in the tour pricing information.

7. Cancellations and Refunds

7.1 Cancellation by You

If you need to cancel a confirmed booking, you must notify us in writing. Cancellation fees will apply as follows:

  • Cancellation more than 60 days before the tour start date: Full refund less administration fee (AUD$100 per person)
  • Cancellation 30-60 days before the tour start date: Loss of deposit
  • Cancellation 15-29 days before the tour start date: 50% of total tour price
  • Cancellation less than 15 days before the tour start date: 100% of total tour price (no refund)

Special cancellation terms may apply for certain tours or during peak periods. These will be communicated to you at the time of booking or in your booking confirmation.

7.2 Cancellation by Us

We reserve the right to cancel a tour for any reason, including insufficient bookings, force majeure events, or operational difficulties. If we cancel a tour, you will be offered the choice of:

  • A full refund of all monies paid
  • An alternative tour of comparable standard, if available (if the price of the alternative tour is lower, we will refund the difference; if higher, you will need to pay the difference)

We will not be liable for any additional expenses you incur as a result of our cancellation, such as non-refundable flights, accommodation, or other travel arrangements.

7.3 Changes to Bookings

If you wish to make changes to a confirmed booking (such as changing the tour date or adding/removing travelers), we will make reasonable efforts to accommodate your request. However, changes are subject to availability and may incur additional charges.

Changes must be requested in writing, and the following fees may apply:

  • Changes made more than 60 days before the tour start date: Administration fee (AUD$50 per change)
  • Changes made 30-60 days before the tour start date: Administration fee (AUD$100 per change)
  • Changes made less than 30 days before the tour start date: Treated as a cancellation (cancellation fees apply)

8. Travel Insurance

We strongly recommend that all travelers obtain comprehensive travel insurance covering trip cancellation, medical expenses, emergency evacuation, personal liability, and loss of or damage to baggage and personal effects.

Travel insurance is your responsibility and should be arranged at the time of booking. We may request proof of travel insurance prior to the tour start date. Failure to obtain suitable insurance may result in you being unable to participate in certain activities or being liable for additional costs incurred in the event of an emergency.

Please ensure your travel insurance policy covers all activities you will be participating in during your tour. Some activities may be classified as "adventure" or "high risk" and may require specific coverage.
